Overview
Core Objective: Eliminate manual sorting by deploying an autonomous agent that reads, understands, and categorizes incoming mail with precision. Tech Stack: High-frequency polling via Gmail API, combined with OpenAI GPT-4o for semantic analysis and dynamic label management. Scope: A universal inbox management system for executives, support teams, and busy professionals.
The Challenge
Inbox Fatigue: Unsorted emails create cognitive load and missed deadlines. Rigid Filtering: Keyword rules fail to capture intent or urgency. Label Management: Manual labeling is repetitive and often abandoned, creating cluttered archives.
My Solution
We built a Virtual Postmaster running on a 5-minute polling cycle to ensure no message is missed. Using OpenAI's chat model, each email is semantically analyzed against organizational structures. A Dynamic Labeling Engine creates new labels via the Gmail API when recurring themes emerge, applying them instantly. The system also defocuses promotions and low-priority alerts, surfacing only high-importance messages.
Results
Achieved 100% categorization of incoming mail and reduced manual triage time by 90%+. Critical emails are highlighted with priority tags, cutting missed action items. Teams save 3-5 hours weekly as inboxes become streamlined, high-efficiency task lists.
