Overview

Core Objective: Convert unstructured meeting discussions into structured, actionable ClickUp tasks with accurate ownership and priorities. Tech Stack: AI-powered parsing using ChatGPT, integrated with ClickUp via API/webhooks and automated workflow orchestration. Scope: An end-to-end meeting-to-execution pipeline that extracts action items, deadlines, and owners, then creates and assigns tasks instantly.

The Challenge

Interpretation Accuracy: Meeting notes are inconsistent, context-heavy, and rarely written in a clean task format, making reliable extraction difficult. Ownership Mapping: Assigning tasks to the right team member requires understanding names, roles, and context cues in natural language. Workflow Friction: The system needed to fit into existing team habits without adding extra steps or manual formatting.

My Solution

We built a rule-based and AI-assisted workflow that parses meeting notes, detects task intent, priority, deadlines, and ownership signals, then converts them into structured task cards. The automation integrates directly with ClickUp to create tasks, apply smart tags, categorize work, and auto-assign to relevant team members. The pipeline supports iterative refinement as more context becomes available, ensuring tasks stay accurate and aligned with team execution.

Results

The automation eliminates manual action-item tracking and reduces the risk of missed responsibilities after meetings. Teams gain stronger alignment and accountability because every discussion consistently translates into trackable work. Overall productivity improves as execution starts immediately after meetings instead of relying on delayed manual follow-up.
